Privacy Policy

Your privacy matters. DocuMind is designed with a privacy-first approach. Your documents stay on your device and are never uploaded to our servers. The free version of the app shows ads served by Google AdMob, which may collect limited device and advertising data as described below. DocuMind Pro is completely ad-free.
1. Information We Collect
DocuMind collects minimal information necessary to provide you with the best experience:
- Documents & Scans: All PDFs, scanned documents, and images are stored locally on your device. They are never uploaded to our servers.
- API Keys: If you provide API keys for AI features (Claude, OpenAI), they are stored securely in the iOS Keychain on your device and are never transmitted to us.
- App Preferences: Settings like theme, language, and export preferences are stored locally using UserDefaults.
- Purchase Information: Subscription and purchase data is managed entirely by Apple through the App Store. We do not have access to your payment details.
- Advertising Data: In the free version, our advertising partner (Google AdMob) collects limited device and advertising identifiers to serve ads. See the Advertising section for details. This does not apply to DocuMind Pro.
2. Third-Party AI Services & Data Sharing
Important: DocuMind's AI features send your document text to third-party AI providers. You must explicitly consent to this data sharing before using any AI feature for the first time.
What data is sent:
- Document text content that you choose to analyze (e.g., when you tap Summarize, Translate, or Extract)
- Your typed prompts and questions when using AI Chat
- Selected text for translation, summarization, or data extraction
Who receives your data:
How data sharing works:
- Data is sent directly from your device to the AI provider you configure — DocuMind does not act as an intermediary.
- You provide your own API key, which is stored locally in the iOS Keychain.
- No data is sent automatically — AI features are activated only by your explicit action (tapping an AI tool button).
- DocuMind does not store, log, or collect any data sent to or received from AI providers.
Your consent:
- Before using any AI feature for the first time, DocuMind displays a data disclosure and consent screen explaining what data is sent and to whom.
- You must tap "I Understand & Agree" to proceed. If you decline, no data is sent and AI features remain unavailable.
- You can revoke consent at any time by removing your API key in Settings or resetting app settings.
- All PDF tools (scan, edit, sign, merge, watermark, etc.) work fully offline without any data sharing.
3. iCloud Sync
If you enable iCloud Sync (Pro feature), your documents are synced through Apple's iCloud infrastructure. This data is encrypted and managed by Apple under their privacy policy. We do not have access to your iCloud data.
4. OCR & Document Processing
All OCR (Optical Character Recognition) and document processing happens entirely on your device using Apple's Vision framework. No document content is sent to external servers for processing.
5. Advertising
The free version of DocuMind displays advertisements through Google AdMob. To serve these ads, the AdMob SDK may collect and process limited information, including:
- Device & usage data: device type, operating system version, IP address, and general (non-precise) location.
- Advertising identifiers: Apple's Identifier for Advertisers (IDFA), used to measure and personalize ads. On iOS, IDFA is only accessed if you grant permission through Apple's App Tracking Transparency prompt. If you decline, you will still see ads, but they will be non-personalized.
- Ad interaction data: ad impressions, clicks, and installs attributed via Apple's privacy-preserving SKAdNetwork.
We never share your documents, scans, or document content with AdMob or any advertiser. Ad data is processed by Google under Google's Privacy Policy. You can learn more about how Google uses this data here.
You can opt out of personalized ads at any time:
- On iOS: Settings → Privacy & Security → Tracking, and disable tracking for DocuMind.
- Upgrade to DocuMind Pro to remove all ads entirely.
6. Other Analytics & Tracking
Apart from the advertising described in Section 5, DocuMind does not include any other third-party analytics or tracking SDKs. We do not track your browsing habits or the content of your documents.
7. Data Sharing
We do not sell, rent, or trade your personal information. The only third party that receives data from the app is Google AdMob, and only the limited advertising data described in Section 5. Your documents and personal files are never shared.
8. Data Security
- API keys are stored in the iOS Keychain with hardware-level encryption.
- Documents are stored in the app's sandboxed container, protected by iOS security.
- Password-protected PDFs use industry-standard encryption.
9. Children's Privacy
DocuMind is not directed at children under the age of 13. We do not knowingly collect personal information from children.
10. Your Rights
Since all your data is stored locally on your device, you have full control:
- Delete: Remove any document at any time from within the app.
- Export: Export your documents in multiple formats at any time.
- Reset: Use "Reset All Settings" to clear all preferences.
- Uninstall: Deleting the app removes all local data.
11. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be reflected on this page with an updated revision date. We encourage you to review this policy periodically.
